Job Description for Expense Associate at Buyers Edge Platform - Remotely based
Prime Source Expense Experts is seeking a highly organized and detail-oriented Expense Associate to support our customer acquisition and consulting process.
This position serves as the operational bridge between our customer-facing Expense Advisors and our internal Sales Support team. Rather than participating in traditional selling activities, the Expense Associate is responsible for ensuring customer projects move efficiently through the analysis process by gathering required documentation, validating information, coordinating requests, and maintaining exceptional communication with both customers and internal teams.
The ideal candidate enjoys managing multiple projects simultaneously, solving problems, improving processes, and ensuring every customer receives an outstanding experience.

Your Impact:
- Customer Project Coordination
- Follow up with customers after discovery meetings to obtain required documentation and data for expense analyses.
- Clearly communicate documentation requirements and answer customer questions throughout the process.
- Build positive relationships with customer contacts while serving as a reliable project coordinator.
- Analysis Support
- Review submitted customer data for completeness and accuracy.
- Validate information before submitting projects for analysis.
- Submit customer cases to the Sales Support team.
- Monitor project progress and proactively address outstanding requests or delays.
- Coordinate additional information requests between customers and internal teams.
- Quality Assurance
- Perform detailed quality reviews of completed analyses before delivery to the Expense Advisor.
- Verify calculations, customer information, and supporting documentation.
- Ensure analyses align with customer objectives established during discovery meetings.
- Administrative & CRM Management
- Maintain accurate customer records and activity within Salesforce.
- Process miscellaneous customer requests assigned by Expense Advisors.
- Assist with reporting and workflow tracking as needed.
- Cross-Functional Collaboration
- Partner closely with Expense Advisors to understand customer priorities and timelines.
- Collaborate daily with Sales Support to ensure analyses move efficiently through the production process.
- Identify opportunities to improve internal workflows and customer experience.
About you:
Required
- 2–3 years of experience in operations, project coordination, customer success, healthcare administration, procurement, sales support, or a related field.
- Strong analytical and critical thinking skills.
- Excellent organizational and project management abilities.
- Exceptional verbal and written communication skills.
- Advanced attention to detail and accuracy.
- Strong Microsoft Excel skills.
- Experience working with CRM systems (Salesforce preferred).
- Ability to manage multiple priorities while consistently meeting deadlines.
Preferred
- Experience supporting healthcare organizations or senior living providers.
- Familiarity with expense management, procurement, purchasing, or financial analysis.
- Experience working with cross-functional teams.
